Soulfys’ Terms & Conditions


“Member/Client” means you whether you are an Active Member, Prospective Member

“Soulfys” means the company, matchmaker and owner (Sophie McDonald)

“Registration Fee” is the non-refundable fee you must pay when you become a member, which covers the screening process, administration costs and processing your details on Soulfys system. 

“Services” means the services to be provided by Soulfys under this agreement

“VAT” means value added tax chargeable under the Value Added Tax Act 1994.

“Member Profile” is a document that Soulfys create holding information on the Member/Client such as Personal details, special data, match preference, interests, characteristics/personality and two (2) photographs

Introduction of Service and Agreement

Soulfys is a privately owned, matchmaking service in Northamptonshire. 

This Agreement serves as a contract that discloses the legally binding terms of your (Member/Client) use or membership to the Services of Soulfys and the services of Sophie McDonald (Owner and Matchmaker). The Agreement sets out the terms under which the services of Soulfys are provided to you (the “Member/Client”). 

By using Soulfys services, the Member/Client warrant and represent that:

  1. You are at least 18 years old and will be able to prove this by providing valid identification in form of a passport, Driving License or ID card

  2. You are unattached, legally separated/divorced, or widowed and not living with your former partner

  3. You have not been convicted of or pled no contest to an indictable offence (or crime of similar severity), involving a sex or violent crime.

  4. You are not registered/not required to register as a sex offender with any state, federal or local sex offender registry

Members are only selected to be matched with other Members after an extensive interview and screening process has been conducted. Interview and screening can be conducted via video call or face to face only. Soulfys reserve the right to deny service to any applicant for any reason and Soulfys is under no obligation to share the details of why your application was denied.

Those who apply for the services offered by Soulfys are not guaranteed a match; Results will vary.

Registration & Screening Process

All Members are required to arrange and attend a registration/screening appointment whether it be via video call (preferably Google Meet) or face to face. Soulfys will always conduct a face to face registration at a public venue for the safety of both parties. Terms & Conditions and agreement of the Privacy Notice must be electronically signed for/confirmed at least 24 hours before the registration/screening process takes place. An interview/screening process can be conducted before any membership agreement is made. An audible recording of all registrations/screening appointments is preferred to ensure all accurate information is captured; your matchmaker will always ask for your consent to record the registration/screening before any recordings are carried out.

You will be required to provide valid photographic proof of ID and proof of address (this is to confirm that you reside in the area of Northamptonshire or surrounding areas in Cambridgeshire, Leicestershire, Rutland, Warwickshire, Bedfordshire, Buckinghamshire or Oxfordshire).

Form of ID accepted by Soulfys:

  • Passport

  • Driving License

  • ID card

Form of proof of address/town/city you reside in accepted by Soulfys:

  • Utility bill (dated within the last 3 months)

  • Government letter (dated within the last 3 months)

  • Bank Statement (dated within the last 3 months)

  • Driving License

Please note that Soulfys do not require to take a copy/scan of your ID or proof of address; it is only used as a visual reference at registration to confirm your ID and proof of the town/city that you reside in.

Soulfys will require two (2) photographs to be taken of yourself on the day of registration - 1 face photograph, 1 body photograph. The photographs will be taken on the company mobile phone on the day of the registration and transferred onto the company database, with all original photos deleted from the phone. If the registration is being conducted over a video call, a screenshot of the video call will be taken. This is to ensure that no photographs are edited causing false interpretation of Member/Client’s appearance and identification. These photographs will be used for the Member/Clients written profile and, with prior permission, will be shared with other Members/Clients during the introductory service of a successful match only. Only in certain circumstances will Soulfys allow the Member/Client to provide their own photographs for their Member profile.

You agree to provide accurate, current and complete information about yourself.  Each Member/Client is responsible for updating their information with Soulfys if any of the member/client’s current information or dating preferences change. You acknowledge that if your information is untrue, inaccurate, not current or incomplete in any respect, we reserve the right to terminate this Agreement and your use of Soulfys Service.

Registration Fee

The Registration fee is a one off payment of 15.00GBP (VAT included). 

Registration fee is to be paid at least 24hrs before the arranged registration commences. Registration fee is non refundable unless you cancel your registration appointment 24 hrs before the date of the arranged registration appointment. Your registration fee covers the cost of -

  • Sophie McDonald’s time and screening process (approx 2 hour)

  • Administration costs (data processing and storage)

  • Member Profile write up

  • Enrollment onto the Soulfys Active Membership

The registration fee is to be paid in full prior to the screening process via bank transfer. Soulfys do not accept any other form of payment.

Promotion Fees & Deals

Soulfys may choose to partner with other third party companies and offer relevant promotions under the third party company’s T&Cs. Promotion Registration Fees will vary. Third party company promotion will not apply to existing Members.

Registration Terms

You must give 24 hour notice in writing if you decide to cancel your registration or rearrange your registration appointment with Sophie McDonald. If you decide to cancel your registration and have given Sophie McDonald 24 hour written notice prior to your registration appointment, you will receive a full refund, otherwise the registration fee is not refundable. If you rearrange your registration appointment and have not given 24 hours written notice you will not be charged for this unless you then cancel your rearranged registration appointment.


Member/Client can not enroll in a membership agreement until a full registration is complete. Soulfys offer one membership contract - 

  1. Soulfys Active Membership - a rolling contract.

Matchmaking services for Soulfys Active Membership will start after a full Registration has been completed. If the member/client chooses to not enter a membership contract on the day of registration, Soulfys will hold the client’s information in accordance with the Soulfys Privacy Policy until the Member/Client states otherwise (see website for Soulfys Privacy Policy)

Soulfys Active Membership

Soulfys Active Membership - a rolling contract.

Soulfys Active Membership includes the following services -

  • Matchmaker’s (Sophie McDonald) service with actively searching for your match on the Soulfys database

  • Headhunting services (should resources allow it. This is not a guaranteed service)

  • Aftercare service when matched

  • Advertising on social media (Soulfys will never use your name, age, date of birth, pictures or any contact details on adverts)

  • Introductory service

Headhunting Service - should resources allow it, Soulfys may carry out a headhunting service for Members. Soulfys will never share Member/Client’s personal details or profile when headhunting a match. Soulfys will only match you with Member/Clients who have been fully registered as an Active Member.

Aftercare Service - After an introductory service has been completed, Soulfys will contact Member/Clients to gain feedback on 

  • The progress of the match

  • Feedback on the Member/Client they have been matched with so that the matchmaker can improve or/and continue the service 

  • Whether the Member/Client wants to continue their membership

Introductory Service - If and when a successful match has been sought, Soulfys will contact both parties to get written confirmation before sharing any contact details and any Member Profiles. The final introduction is done via email in which email address and Member Profile is shared between Soulfys Member/Clients.

Membership Cancellation

One (1) month written notice is preferred if you want to cancel your contract. If you decide to sign up to Soulfys Active Memberships after 6 months of canceling your contract, you will be required to pay a registration fee of 7.50GBP. If you decide to sign up to Soulfys Active Memberships after 12 months of canceling your contract, you will be required to pay the full registration fee of 15.00GBP.

Soulfys reserves the right to cancel your membership if we do not have a response to any communication from you within two (2) weeks. 

Unless you communicate with us in writing that you would like to place your membership on hold, we will assume you are an active member and your membership time frame will start immediately.

Soulfys have the right to cancel/deny any Member/Client’s membership and Soulfys is under no obligation to share the details of why your membership was canceled/denied

Limitation of Liability

Member/Client (you) understands the potential dangers that could occur in meeting with people through Soulfys. Understanding the risks, Member/Client hereby represents and warrants that Member/Client release Soulfys and all its representatives, and anyone else directly or indirectly connected with Soulfys, from any liability in the event of any injury or damage of any kind to Member/Client or anyone else caused by meeting with people through any Soulfys service.

While Soulfys performs an initial screening of individuals registering for the matchmaking service, Soulfys and Sophie McDonald make no representations or warranties as to the conduct of such individuals or their compatibility with any current or future members. In no event shall Soulfys or Sophie McDonald be liable for any damages whatsoever, whether direct, indirect, compensatory, general, consequential, and/or incidental, arising out of or relating to the conduct of you or anyone else in connection with the use of the service, including without limitation, bodily injury, emotional distress, and/or any other damages resulting from communications or meetings with other registered users of this service or persons introduced to you by this service.


Soulfys will hold Member/Client details on a secure database (Google Workspace), in the strictest confidence and abide by The Data Protection Act and UK GDPR. Soulfys will only share Member/Client’s contact details with others with the Member/Client’s permission. You must not share other Member/Client’s details to any other Member/Client or any external party that is supplied to you by Soulfys; this would be a violation of privacy. Member/Client agrees that Soulfys can share your data with 3rd parties for validation purposes. Soulfys will never advertise your name or contact details when advertising on social media. 

You agree not to disclose any and all information provided to you as confidential and private. You agree to keep all communication private between yourself and Sophie McDonald.

Soulfys may change these Terms and Conditions at any time. Existing Members/Clients will be informed if and when Terms and Conditions change.
